Workstations that support the way you work

Keep every laptop and desktop ready for the job

A workstation should help someone get on with their work from day one. Stratiis helps Scottish organisations choose, prepare, support and replace laptops and desktops with a clear plan. We bring device standards, user needs, security and budgets together so equipment stays useful throughout its working life.

What is workstation lifecycle management?

Workstation lifecycle management covers the decisions and support a business needs from initial planning through purchase, setup, day-to-day use and secure retirement. It includes knowing who uses each device, keeping it supported and protected, responding to faults, and deciding when repair or replacement makes better sense. The plan should reflect each role rather than assume every employee needs identical equipment.

Business outcomes

More dependable devices and fewer last-minute purchases

A managed workstation estate gives employees a more consistent experience and gives decision makers clearer information about cost, risk and replacement.

Ready from day one

Prepare the right applications, access and settings before a new starter receives their device.

Less disruption

Spot ageing or unreliable equipment and plan changes before it blocks important work.

Stronger security

Keep supported systems, updates, encryption and access controls in view across the estate.

Clearer spending

Use an asset record and replacement priorities to spread investment more predictably.

What the service can cover

One practical plan for the whole workstation estate

Stratiis can connect procurement and deployment with ongoing IT support, security and lifecycle reviews. The exact scope is shaped around your current devices and support arrangements.

Standards and specification

Define suitable laptops, desktops and accessories for each role, including performance, mobility, connectivity and support needs.

Procurement and tracking

Coordinate approved equipment and record ownership, location, warranty and planned replacement dates.

Build and deployment

Set up operating systems, approved applications, access and security controls before devices reach users.

Updates and protection

Manage supported software, patching, endpoint protection and encryption as part of a wider security approach.

Support and repair

Give users a route to help with faults, performance, peripherals and replacement equipment.

Refresh and retirement

Review devices before they become a problem, migrate users where needed and handle business data securely at end of life.

Fit for each role

The right workstation depends on where and how people work

A standard model makes support easier, but the specification still needs to match the work. A site manager, office administrator and designer may have very different requirements.

Working pattern What matters most Lifecycle consideration
Office-based teams Reliable daily performance, displays, peripherals and consistent applications. Plan refreshes around support status, workload and user impact.
Hybrid and remote workers Portable equipment, secure access, video calls and straightforward remote support. Keep an accurate record of devices away from the office and plan safe returns.
Site and field teams Durability, connectivity, battery life and access to the right information on the move. Allow for wear, loss and a practical route to replacement.
Specialist users Processor, memory, graphics or application requirements that exceed a standard build. Review performance against the actual software and work being done.

Device standards should make common tasks simpler while leaving room for justified exceptions.

Plan the refresh

Replace equipment when the evidence points to a need

A fixed age can be a useful budgeting guide, but it does not tell the whole story. A device may still be productive after its expected refresh date, or may need attention sooner because it is unreliable, cannot run supported software or no longer meets the user's workload.

Keep and maintain

Where a workstation remains supported and performs well, updates, maintenance or a targeted repair may extend its useful life. Record the decision and review it again as needs change.

Repair or replace

Consider repeated faults, repair cost, warranty status, security support and the downtime a user faces. A planned replacement can be better value than repeated emergency fixes.

Stratiis can help prioritise the estate so high-risk devices and business-critical roles are considered first, with purchasing spread across a sensible schedule.

Security through the lifecycle

Protect business information from setup to disposal

Workstations hold credentials, files and access to cloud services. Security needs to follow the device as people join, change roles, work remotely and leave.

During use

Apply appropriate encryption, access controls, operating-system updates and endpoint protection. Keep track of devices that fall outside policy and agree how faults or a lost laptop should be reported.

At handover and end of life

Remove access, recover company equipment and protect or erase data before a device is reassigned, recycled or disposed of. Keep a record of the action taken and any retained data.

How we work

A clear path from today's devices to a managed lifecycle

The starting point is an accurate view of what you own, who uses it and where support or replacement will have the greatest effect.

1

Discover

Review devices, users, applications, support history and current purchasing practices.

2

Set standards

Agree role-based specifications, approved builds and security requirements.

3

Prioritise

Identify unsupported, unreliable or unsuitable workstations and build a refresh plan.

4

Deploy

Prepare devices, move the right user data and applications, and make handover straightforward.

5

Support

Help users, maintain devices and keep the asset record useful as the estate changes.

6

Review

Revisit performance, support status, security and budget priorities before the next cycle.

Frequently asked questions

Workstations and Lifecycle explained

How often should a business replace laptops and desktops?

There is no single timetable for every role. Review performance, reliability, warranty, operating-system support, security and the cost of downtime. An asset register and planned budget make those decisions easier.

Can Stratiis support devices we already own?

Yes. A review of the existing estate can identify which devices are suitable to keep, which need attention and which should be prioritised for replacement.

Do all employees need the same workstation?

No. A small set of approved specifications usually covers common roles, with justified exceptions for specialist applications, site work or accessibility needs.

What happens when an employee leaves?

The process should remove access, recover the device, protect business data and decide whether it can be prepared for another user or should be retired.

What happens to old workstations?

Before reuse, recycling or disposal, business information should be removed using an appropriate, documented process. Any equipment that can be reused should be assessed for support and suitability.
